Job Description

Willow Workplace seeks a Community Operations & Marketing Coordinator in Menlo Park, CA to oversee member experience, community operations, marketing and social media, events, and day-to-day coworking activities in a fast-paced environment.

Responsibilities

  • Act as a primary on-site ambassador, delivering a warm, professional, hospitality-driven experience for members and guests
  • Welcome members and guests and actively contribute to a strong sense of community
  • Assist with onboarding, tours, move-ins, and day-to-day member requests
  • Maintain a polished, organized, and inviting workspace
  • Coordinate mail, packages, deliveries, and operational logistics
  • Support vendor coordination and facility communications
  • Develop and expand Willow Workplace social media across Instagram, LinkedIn, TikTok, and other channels
  • Produce engaging photo and video content highlighting the workspace, events, and community; comfortable appearing on camera for social media and promotional content
  • Support Canva graphics, marketing materials, event promotions, and email campaigns
  • Capture lifestyle content including workspace photography, event coverage, food and beverage setups, and member experiences
  • Support website updates and promotional initiatives related to meetings, events, and coworking
  • Approach challenges with a proactive mindset, take initiative, and contribute across teams in a collaborative environment
  • Assist with planning and executing networking events, happy hours, workshops, and corporate gatherings
  • Coordinate event logistics, including room setup, vendor liaison, guest experience, and hospitality
  • Maintain flexibility to support occasional evening or weekend events
  • Serve as a resource for members needing basic meeting room technology assistance
  • Troubleshoot basic technology issues, including screen sharing, conference room setups, and device connections
  • Help members navigate everyday workplace technology, including Wi-Fi access, connecting laptops to meeting room displays, and printers/copiers across PC and Apple devices
  • Ensure conference rooms and shared spaces are fully operational and presentation-ready

Requirements

  • 2–4+ years of experience in hospitality, coworking, events, marketing, customer service, or related fields
  • Strong interpersonal and communication skills with a polished, professional presence
  • Hospitality-first mindset with a passion for creating exceptional experiences
  • Comfortable appearing in and creating social media video content
  • Experience with Canva, Instagram, TikTok, LinkedIn, and content creation tools
  • Experience using AI tools such as ChatGPT for marketing, content creation, or workflow efficiency
  • Strong organizational skills with the ability to multitask in a fast-paced environment
  • Comfortable with basic technology troubleshooting
  • Creative thinker with strong attention to detail
  • Positive, adaptable, and willing to assist wherever needed
  • Event coordination experience
  • Photography or food and lifestyle content experience
  • Experience in coworking, boutique hospitality, or event venues
  • Bilingual, especially Spanish speaking
